2021 Annual General Meeting

The Annual General Meeting (AGM) of the members of Diversity ACT Community Services (hereafter referred to as Diversity ACT) will be held as follows:

  • Date: Saturday, 27 November 2021
  • Time: 2.30pm AEST
  • Place: Diversity Hub, 8 Laidlaw Pl, Canberra ACT 2903, and via Zoom (link provided to members).

For those choosing to attend in person, Diversity ACT encourages members to practice COVID-19 safety measures at the meeting, including social distancing and wearing of masks. Please do not attend in person if you are unwell.

Meeting inclusions

At the meeting, members will have the opportunity to:

  • find out about and ask questions about Diversity ACT’s operations and finances
  • speak about any items on the agenda
  • vote on any resolutions proposed.

If members are already aware of questions they want to ask, they are encouraged to email them in advance to info@diversityact.org.au so that the committee can develop a detailed response.

At the meeting, members will be asked to vote to:

  • accept the minutes of the last annual general meeting
  • accept the annual report
  • accept the auditor’s report
  • accept the annual financial statements
  • appoint and pay an auditor
  • elect committee members (if the number of nominations exceeds the number of vacancies to be filled)
  • amend the Diversity ACT Community Services Association Rules (more information below).

Call for committee member nominations

Committee member positions to be elected at this AGM are:

  • Secretary
  • Treasurer
  • Membership Secretary
  • Public officer
  • three general committee members.

Committee positions are held for a period of two years.

To nominate a member of Diversity ACT for election to the committee, you must:

Complete a nomination form and have it signed by two members of Diversity ACT (this can include yourself).

Obtain the written consent of the candidate, preferably through their completion of the relevant section of the nomination form.

Return the form to the Diversity ACT Secretary not less than seven (7) days before the AGM (that is, by 2.30pm on Saturday, 20 November). The preferred method for providing nomination forms to the Secretary is via email to info@diversityact.org.au.

Please note: If the number of nominations exceeds the number of vacancies to be filled, a ballot will be held at the AGM. The Secretary will seek additional information from nominees in this circumstance to provide information to members to inform their decisions. Nominees should be prepared to provide details on the experience and skills they would bring to the role and anything else that makes them a good candidate for the position within a short timeframe, to enable members to make an informed decision.

Special resolution

The following special resolution will be proposed at the annual general meeting:

Voting by proxy

If you are not able to attend the meeting, you may appoint a proxy to attend and vote on your behalf using the  proxy nomination form.

Completed proxy forms must be provided to the Secretary no later than 24 hours before the time of the meeting for which the proxy is appointed. The preferred method for providing nomination forms to the Secretary is via email to info@diversityact.org.au.

A proxy vote may not be given to a person who is not a member of Diversity ACT.

No member may hold more than five proxies.
